Navigating Malaysia?s E-Invoicing with MyInvois Portal
Malaysia's shift to mandatory e-invoicing is facilitated by the MyInvois Portal, designed by the Inland Revenue Board of Malaysia (IRBM). This platform simplifies the e-invoicing process, from creation and submission to validation and cancellation. For businesses to seamlessly integrate with this new system, choosing the right middleware is crucial. Taxilla offers an ideal solution with its seamless integration, real-time validation, and high security, ensuring efficient compliance with Malaysia's e-invoicing regulations. This blog explores how the MyInvois Portal works and why Taxilla is the perfect choice for smooth e-invoicing integration.
Providing all the features required for taxpayers (suppliers) to do e-Invoice activities, including creating, sending, viewing, canceling, or rejecting invoices, is what the MyInvois Portal offers. It is intended to fulfill the following functions specifically:
Enabling taxpayers to view and search individual e-invoices. Giving taxpayers with systems that can't generate e-invoices a platform.
Taxpayers must use the MyInvois Portal and log into MyTax Portal in order to fulfill their e-invoice duties in accordance with the guidelines and specifications established by IRBM.
The steps to access the MyInvois Portal are as follows:
First Step: Development and Submission
Issuance and Cancellation (Invoice/Debit/Credit/Refund) through IRBM
The Supplier generates an e-Invoice and transmits it to IRBM via the MyInvois Portal for instant validation following the completion of a sale or transaction, including any necessary e-Invoice changes such as debit, credit, and refund notes.
There are two ways to create and submit electronic invoices: Single Creation: By filling out a form with all the necessary information, taxpayers can make e-invoices on their own. To use this option, taxpayers must log in to the MyInvois Portal.
Group Generation: By uploading a specified layout file to the portal that contains the relevant invoice data, taxpayers can produce a predetermined number of e-Invoices at once.
Second Step: Validating E-Invoices
The validated e-invoice will be sent to the Supplier in PDF format by IRBM through the MyInvois Portal after it has been verified, which happens almost instantly.
The e-invoice that has been validated will have a validation link, the date and time of validation, and the IRBM Unique Identifier Number. By ensuring traceability through IRBM, the IRBM Unique Identifier Number lowers the possibility of e-Invoice tampering. An error message shall appear in the event that the e-Invoice is returned without validation. When this happens, the Supplier must fix the mistakes and resubmit the e-invoice for validation after making the requisite adjustments.
Third Step: Notification
Through the MyInvois Portal, notifications will be sent to both the Supplier and the Buyer once the e-Invoice has been approved. They will receive an email informing them of the clearance of the invoice and any requests for buyer rejection.
The following actions are included in this step: Notification of Supplier and Buyer via MyInvois Portal. email updates on requests for buyer rejection and invoice clearance.
Fourth Step: e-Invoice Sharing
The Supplier is in charge of providing the Buyer with the validated e-Invoice following validation. A QR code supplied by IRBM will be incorporated in the e-Invoice. Using the MyInvois Portal, the QR code can be used to confirm the presence and status of the e-Invoice.
Fifth Step: Cancellation or Rejection
The e-Invoice can be refused or cancelled within 72 hours of validation. Buyer's Rejection Request: Through the MyInvois Portal, the Buyer may submit a request for rejection if the e-invoice contains inaccuracies. It is necessary to state the basis for the denial. If the supplier agrees, the e-Invoice may be cancelled. After 72 hours, there can be no cancellations if the request for rejection is denied. Amendments require a fresh e-invoice. Supplier's Cancellation: If there are errors, the Supplier may cancel the e-invoice within 72 hours. Explanations have to be given.
Eighth Step: Storing e-Invoices
The database of IRBM will contain all accepted and verified electronic invoices that are submitted through the MyInvois Portal. In addition to the e-invoice kept by IRBM, taxpayers are encouraged to keep sufficient records and documentation of the transaction.
Ninth Step: Dashboard Services and Reporting for Taxpayers
Suppliers and Buyers can request and retrieve e-Invoices using the MyInvois Portal. Important invoice information, including the invoice date, amount, and status, as well as any pertinent data submitted to IRBM, can be found on the MyInvois Portal. You can acquire these details in a number of formats, such as:
Pre-Submission: Requirements for Electronic Invoice Submission
There are two main ways that taxpayers can retrieve and validate their TIN more easily:
Make use of the MyTax Portal: This portal allows businesses to easily verify their TIN.
In the event that the TIN cannot be obtained via the MyTax Portal, taxpayers may utilize the e-Daftar platform to begin the registration process and acquire their TIN by completing the following steps:
A taxpayer identification code for internet transactions is called a digital certificate (such as.cer or .pfx). It ensures that the content that has been signed is trustworthy and dependable. Based on the taxpayer's TIN and other details, IRBM issues the Digital Certificate. It guarantees the e-invoice's authenticity, integrity, and non-repudiation for three years.
